Understanding Turnover Dashboard

Manage your turnovers in one place. Apella's new Turnover Dashboard gives you real-time updates on in-progress and upcoming turnovers, helping you and your team stay coordinated throughout the day.

  • Live Updates: See patient wheels-out times immediately, so cleaning and setup can start right away.
  • Shared Information: Everyone involved in a turnover —EVS, Anesthesia, managers, float, and Scrub Tech/SPD staff — can all see and work off of the same real-time data.
  • Prioritized Workflow: Quickly identify which rooms need attention first, optimizing time and resources.



Best Practices

  1. Place Screens Where You Gather: Install monitors in high-traffic or lounge areas for everyone to see at a glance.
  2. Incorporate It into Daily Routines: Make checking the Turnover Dashboard part of your team's daily workflow and talk about it during huddles and shift changes.

How to Use (By Role)

Guidance on how to incorporate the Turnover Dashboard into each team's workflow.

Role How to Use
Housekeeping/EVS

Immediately know when you can begin cleaning the room:

  • Under Upcoming turnovers, view Est. Wheels Out time to know when to go to the room. This timing is predicted by Apella using real-time data and continuously updated.

Anesthesia Techs

See when a room is ready to start preparing anesthesia equipment promptly.

  • Under Turnovers in progress, you can identify which turnovers are ready for setup by viewing Room Status. If Room Status is Cleaned, it indicates cleaning is complete and may be ready for setup. If Room Status is Opening, it indicates back table is open.

Scrub Techs

See when a room is ready to start setting up equipment promptly.

  • Under Turnovers in progress, you can identify which turnovers are ready for setup by viewing Room Status. If Room Status is Cleaned, it indicates cleaning is complete and may be ready for setup. If Room Status is Opening, it indicates back table is open.

Floats or Helpers

Check the dashboard for delayed turnovers and assist as needed.

  • Under Turnovers in progress, you can identify turnovers running beyond the goal. Under Elapsed, view the turnover progress bar with elapsed turnover time. If the progress bar has red it is a visual indicator that the turnover is running longer than the goal and may require additional support.

Charge Nurses

Monitor dashboard for a focused look at turnover progress.

  • For charge nurses, continue Live and Schedule (OR) for an overall view of the day's progress.
  • If you want to just view the day's turnover activities, switch to the Turnover Dashboard.

Understanding the Turnover Dashboard


Accessing the Dashboard

Once you are logged into Apella, select Schedule. In Schedule, at the top of the page select the Turnovers tab. The number next to the tab name indicates the number of turnovers currently in progress. Note: on mobile, you may need to select the "..." button to be able to select the Turnovers tab.


View In-Progress Turnovers

In the Turnover Dashboard, you can view turnovers currently in progress.

For each in-progress turnover you will be able to see:

  • Room: What room the turnover is taking place in
  • Room Status: Displays status of room based on Apella-detected events (turnover started, cleaned, opening)
  • Elapsed: Displays how long the turnover has taken so far. If the progress bar is yellow it means the turnover is within the goal. If the turnover is running beyond the goal, you will see red in the turnover progress bar.
  • Follow Start: Displays the expected start time for the next case
  • Follow Case: Displays information about the next case
  • Follow Anesthesia: Displays anesthesiologist information about the next case
  • Patient Status: Displays information about where the patient currently is from your EHR (patient in facility, patient in pre-procedure, patient pre-procedure complete, case in hold)


View Upcoming Turnovers

In the Turnover Dashboard, you can view turnovers upcoming turnovers.

For each upcoming turnover you will be able to see:

  • Room: What room the turnover is taking place in
  • Room Status: Displays status of room based on Apella-detected events (Prep, Surgery, Wrap-up)
  • Est. Wheels Out: Displays Apella's predicted time

    for patient wheels out

  • Follow Start: Displays the expected start time for the next case
  • Follow Case: Displays information about the next case
  • Follow Anesthesia: Displays anesthesiologist information about the next case
  • Patient Status: Displays information about where the patient currently is from your EHR (patient in facility, patient in pre-procedure, pre-procedure complete, case in hold)

Filter to View Turnovers by Site or Room and Save Views

You can set a filter on the Turnover dashboard to only view turnovers applicable to one or more sites or filter to view turnovers in specific rooms.

If this filtered view is something you will need to regularly access, you can save the view — it will then show up as an additional tab at the top of Schedule for you to access in one click moving forward.
